1. Who We Are
TravelSquare is a Nottingham-based travel agency. Unless confirmed otherwise in writing, TravelSquare acts as a booking agent and intermediary between you and third-party travel suppliers such as airlines, hotels, transport providers, visa support providers, accommodation providers and other travel service providers.
2. Agency Role and Supplier Contracts
Where we act as booking agent, the contract for the actual travel service is between you and the relevant supplier. Each supplier's own booking conditions, cancellation rules, amendment rules, refund rules and service terms apply. You are responsible for reading and complying with those supplier terms before confirming any booking.
TravelSquare is not responsible for the acts, omissions, insolvency, service failure, schedule changes, delays, cancellations, overbooking, downgrades, denied boarding or operational decisions of third-party suppliers, except where UK law makes us directly responsible and that responsibility cannot lawfully be excluded.
3. Quotes, Availability and Confirmation
All quotations are subject to availability and may change without notice until the booking is confirmed in writing and the required payment has cleared. No booking is confirmed by an enquiry form, phone discussion, social media message or verbal quote alone.
You must check all names, dates, routes, airports, baggage allowances, passport details, visa requirements and passenger information before approving a booking. Names must match travel documents exactly.
4. Payments, Deposits and Fees
Deposits, service fees and supplier charges may be non-refundable. We will explain payment deadlines where they are known to us. If a balance is not paid by the required deadline, suppliers may cancel the booking and impose cancellation charges.
TravelSquare may charge reasonable administration or service fees for booking work, amendments, cancellations, document handling or other support. Supplier charges may also apply separately.
5. Cancellations and Amendments by You
Cancellation and amendment requests must be made in writing. A request is not effective until it is received and acknowledged by us. Supplier cancellation charges, amendment charges, fare differences and TravelSquare administration fees may apply. Some tickets, rooms and services may be fully non-refundable or non-changeable from the moment of booking.
6. Supplier Changes, Delays and Cancellations
Airlines and other suppliers may change schedules, routes, aircraft, hotels, rooms, transport arrangements, timings or other service details. Where we are notified of a material change, we will pass relevant information to you as soon as reasonably practicable. We are not liable for supplier decisions or disruption outside our control, except where UK law imposes liability that cannot be excluded.
7. Passports, Visas, Health and Entry Rules
You are responsible for ensuring that every passenger has valid passports, visas, travel authorisations, health documents, vaccination evidence and other documents required for all destinations and transit points. Any guidance from TravelSquare is general assistance only and must be checked against official sources before travel.
8. Travel Insurance
You are strongly advised to obtain suitable travel insurance as soon as you book. Insurance should cover cancellation, medical treatment, repatriation, missed departure, baggage, personal liability and the specific activities or destinations included in your trip. TravelSquare is not responsible for losses that could have been covered by suitable insurance.
9. Package Travel and Flight-Inclusive Arrangements
Some combinations of travel services may be treated as a package or linked travel arrangement under UK law. Where the law treats TravelSquare as the organiser of a package, your statutory rights will apply and cannot be removed by these terms. Where TravelSquare acts only as agent for another organiser or protected supplier, the organiser or supplier named in your booking documents will be responsible for the package or protected arrangements.
TravelSquare does not claim on this website to provide ATOL protection. If a booking is ATOL protected by a supplier or organiser, you should receive the relevant ATOL Certificate or documentation from the responsible ATOL holder.
10. Liability
To the maximum extent permitted by English law, TravelSquare excludes liability for indirect loss, consequential loss, loss of enjoyment, loss of profit, loss of business, missed events, alternative travel costs, inconvenience, distress, supplier failure, force majeure events and losses caused by inaccurate information supplied by you.
Where TravelSquare is legally liable and liability can lawfully be limited, TravelSquare's total liability will be limited to the service fee retained by TravelSquare for the relevant booking or enquiry, unless a higher minimum liability is required by law.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, breach of statutory rights that cannot lawfully be excluded, or any other liability that cannot be excluded or limited under English law.
11. Events Outside Our Control
TravelSquare is not liable for failure or delay caused by events outside reasonable control, including war, terrorism, civil unrest, strikes, supplier insolvency, pandemics, epidemics, government action, border closures, airspace restrictions, severe weather, natural disasters, cyber incidents, airport disruption or transport disruption.

Website content is provided for general information only. Prices, destinations, package examples, travel advice and availability may change. We do not guarantee that website content is complete, current or error-free. You should confirm all important details with us in writing before relying on them.
13. Complaints
Issues with supplier services should be raised with the supplier immediately and while you are travelling, then confirmed in writing. Complaints about TravelSquare's own service should be sent to the email address on our website. We aim to acknowledge complaints within 5 working days and provide a fuller response within 28 days where reasonably possible.
14. Governing Law
These terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction, subject to any consumer rights that legally allow you to bring proceedings elsewhere in the UK.
